Our privacy policy is here to shine some light on what happens to the date your provide us, and the basis on which we collect it from you, and what we do with it. Please make sure you pay attention to the following so that you have a clear understanding of how we process your personal data.

  1. What information do we collect from you?

We may collect the following data:

  • Information you provide us by filling in forms on our website, such as your name, address, contact details, interests and special requirements, or that you write in email enquiries. 
  • Information we discuss over the phone relating to your trip enquiry such as your name, address, contact details, interests and special requirements .
  • Information you provide us on the booking form when confirming a trip with us, or information you provide via email or phone conversations relating to your trip with us. For details of all guests, this may include full names, date of birth, nationality, dietary requirements, medical requests, insurance details and occasionally passport information when necessary.
  • Records of financial transactions you carry out to pay your invoice as deposit authorisations or balance payments, or when you purchase online products with the embedded Woo Commerce platform. 
  • We may also ask you to complete feedback forms after your holiday.
  • For businesses and organisations interested in our creative consulting operations, the data may include name, address, contact details, your story, your work, what you need help with.
  • When you explore our website we collect information about your visit using cookies. This is to help improve the functionality of our website, our service to you and troubleshoot problems as we strive to give you the best online possible experience. 
 
  1. Why do we collect this information?

We collect this data to create the perfect holiday for you, to discuss the how’s, the why’s, the when’s of your trip or anything related to your travels, and to advise on what the best options are for you. 


If you choose to book a trip with Odysseia, we need to collect further information from you – like your dietary requirements or things we need to know about your health– so as to fulfil our contract with you and confirm all the arrangements with our various suppliers.

 

If you would like to hire Odysseia as creative consultants and storytellers, then we need to collect information about your business, such as your story, your needs, your vision, so that we can deliver the best possible product for you.

We collect some information on your use of our website (cookies) to help us give you the best possible online experience and to improve our understanding on how people use the website to enhance the user experience. 

 

 

  1. How do we use the data we have collected? 

We use the data we have from you as follows:

  • To respond to an enquiry that you have made. 
  • If you book a trip with us, we use the information about you to fulfil our contact with you and confirm your trip. This may involve passing your details to various suppliers, such as airlines, accommodation suppliers, transfer suppliers, car-hire suppliers, and suppliers for various excursions. As is the nature of booking holidays in Africa, this is very likely to include the transfer of information outside the EEA (European Economic Area).
  • To provide you with information, products or services that you ask us to (such as providing you with a quotation or further information), or which we feel may be of interest to you. We’ll only contact you by electronic means with information which we think will interest you based upon your previous holidays with us / enquiries.
  • In the case of hosted trips, where (an) Odysseia guide(s) takes photographic or video-graphic footage in which you appear, or writes stories or articles mentioning you, this will always be done so, published and shared with your permission first. Photos and videos where you may appear are permanently deleted 28 days after a trip. 
  • For Odysseia-Create, to create the best possible product for your company or organisation including video-graphic or photographic footage, written stories or articles. Footage is appropriately deleted after the hand-over of content unless permission to use the content in the future. 
  • In very exceptional circumstances Odysseia may be required to cooperate with legal authorities. We may be required to disclose personally identifiable information in response to requests from law enforcement authorities. In that case, we would only disclose what is required from us. 
  • We will not pass your data to any third-party companies.
 
  1. How long we keep your data

We are required under UK tax law to keep details on all holidays booked through us for a minimum of 7 years.

We will keep your (anonymous) trip feedback on our website indefinitely as this is a vital resource for our future guests. This will also help us to remember what you like and don’t like so that if you choose to book another holiday with The Odysseia Collection, we can pinpoint the perfect trip to match your needs and wants.

Your information which we use for marketing purposes (such as newsletter updates) will be kept until you notify us that you no longer wish to receive this information.

 

 

  1. Your rights

You have a right at any time to stop us from contacting you for marketing purposes. If you believe the information we hold on you is incorrect then please inform us and we will correct or delete it.

You can contact us directly by sending us an email at hello@theodysseiacollection.com.

You can choose to unsubscribe from marketing emails at any point by replying to any email expressing your wish to be removed from the mailing list. Once you do this, you will no longer receive marketing emails from us, but may still receive communication in relation to a specific booking you have with us.

You have the right to request erasure – we will erase your personal information where there is no good reason for us to continue to use it (such as compliance with UK tax law).

You have the right to request a copy of any personal information which we hold on you.

Should you wish to raise a complaint on how we’ve handled your personal data, please contact hello@theodysseiacollection.com and we will carefully investigate the request. If you are not satisfied with our handling of your request, or believe that we are processing your personal data not in accordance with the law, you can complain to the Information Commissioner’s Office (ICO).

 

 

 

  1. Security
  • Across our website, we refer to third parties, such as lodges, hotels, or activity operators, most of which have websites that you are free to explore. Please remember that we have no control over these sites, and they may have different security and privacy policies and so can take no responsibility for any information submitted to these sites. Any information you give us is protected by a secure server, and the data you send is encrypted before you send it to us, and is only decrypted when it reaches our server.
  • The Odysseia Collection reviews our security procedures and updates them regularly to help protect the personal information we store on our systems. The access to our systems is limited to only those who need that information, and we have set up technical measures to protect against unauthorised access.
  • We will not pass your data to any third-party companies.
